First-time login options

Step 1: Depending on how you configured Percipio, users enter either corporate credentials or Percipio credentials to log into Percipio.

Skillsoft recommends setting up Percipio to use corporate credentials (single sign-on or SSO) so users do not have to remember a separate login name and password. If you choose manual or bulk upload to create user accounts, you have three options available that impact the user experience during this step:

  • Choose to have Percipio send users a welcome email with a link that automatically logs the user in the first time.

  • Require users to reset their password the first time they log in.

  • Require multi-factor authentication (MFA). In addition to login credentials, the user must also supply a 6-digit code upon login. Users receive the code in the email address associated with their Percipio account.

  • Identify a contact person or website at your company for user account questions.

Step 2: Skillsoft provides the option for you to set up a custom use policy if your standards require it. Selecting this option requires all users to accept the use policy before they can gain access to Percipio for the first time.

Step 3: Users are prompted to select skills they want to build. They can choose to skip the selection process or spend a couple of minutes choosing skills important to them. Selecting skills helps Percipio provide a customized learning experience for the user. If the user skips selecting skills, they can do it any time from the Skills section of their profile.

Step 4: After the learner completes steps 1 through 3, they can start learning.

Subsequent login options

If user accounts are missing emails or passwords, you have the option to allow Percipio to ask users for that information on subsequent logins. These options would not apply if you configured Percipio to use corporate credentials.

  • Allow Percipio to collect a user's email address if their account does not have one.

  • Prompt users without an email to provide security questions for unassisted password reset.

Configurations and the User Experience

Depending on your corporate policies and technology, explore the following configuration options and the resulting user experiences.

Logging in with corporate credentials

Skillsoft recommends setting up Percipio to use corporate credentials so users do not have to remember a separate username and password. This is called single sign-on (SSO). To use SSO with Percipio, you need an Identity Provider (IdP) that uses the Secure Assertion Mark-up Language (SAML) 2.0 standard. For details on setting up this configuration see Single Sign On.

Use Case: Users login using corporate credentials (recommended)

Configuration

With only SAML/SSO configured, user accounts can get created and updated when they log into Percipio. Users need the Percipio URL and then login using their network credentials. User attributes like first name, last name, and email are automatically added to the Percipio user account from your corporate IdP.

With this approach, we recommend:

  • Automatic account creation. If an account does not exist when the user attempts to log in, the account gets created so the user can access Percipio without having to wait.

  • That you choose to Automatically redirect users to corporate login screen so they don't accidentally choose to login using Percipio credentials.

First-time user login experience

With only SAML/SSO configured, the first time user experience is as follows:

  1. User goes to their Percipio URL.

  2. Percipio prompts the user for their network credentials.

  3. User enters their network credentials. Percipio creates the account and logs the user in.

  4. If you opted for a custom policy, Percipio displays it. The user has to accept it to keep going.

  5. Percipio prompts the user to select the skill areas they want to build. The user can skip this and set it up at a later time fromthe Skills section of their profile.

Subsequent login experience

  1. User goes to their Percipio URL.

  2. Depending on your technology configuration, Percipio prompts the user for their network credentials or automatically logs the user in. Peripio displays the home page.

Use Case: Users login using corporate credentials from a welcome email

Configuration

Your Percipio configuration may use both SAML/SSO and bulk import of user data. With this approach, we recommend:

  • Automatic account creation. If an account does not exist when the user attempts to log in, the account gets created so the user can access Percipio without having to wait.

  • That you choose to Automatically redirect users to corporate login screen so they don't accidentally choose to login using Percipio credentials.

  • You choose to send welcome emails so users know they have a Percipio account and how to access it.

Use Case: All users have email addresses and you set them up with the same password. Security is tight and you require the user to reset their password.

If you cannot use SAML/SSO, we recommend creating user accounts as follows:

  • With an email address (password is not required).

  • Selecting the option to require users to reset their password on first login.

  • Choosing to automatically send a welcome email.

First-time user login experience

When you create user accounts with an email address that require a password change, then send a welcome email, the first time user experience is as follows:

  1. User receives a welcome email from Percipio.

  2. User selects Start learning in the email to launch Percipio.

  3. User enters a password and confirms it, then selects Change Password.

  4. If you opted for a custom policy, Percipio displays it. The user has to accept it to keep going.

  5. Percipio prompts the user to select the skill areas they want to build. The user can skip this and set it up at a later time fromthe Skills section of their profile.

  6. The user can start learning.

Subsequent login experience

  5. User re-enters their login name and new password.

  6. If MFA is enabled, the user is prompted for a 6-digit code that they get in their email. If a user checked the option to Remember this device during a previous login, Percipio does not prompt for a 6-digit code. Percipio opens to home page.

Use Case: All users have email addresses and you set them up without a password. You allow users to reset their password on their own time.

Configure

If you create user accounts as follows:

  • With an email address.

  • Without a password.

  • Not selecting the option to require users to reset their password on first login.

  • Choosing to automatically send a welcome email.

When you create user accounts with an email address, no password, and do not require a password change, then send a welcome email, the first time user experience is as follows:

  1. User receives a welcome email from Percipio.

  2. User selects Start learning in the email to launch Percipio. User is automatically logged into Percipio.

  3. If you opted for a custom policy, Percipio displays it. The user has to accept it to keep going.

  4. Percipio prompts the user to select the skill areas they want to build. The user can skip this and set it up at a later time fromthe Skills section of their profile.

  5. The user can start learning.

  6. User receives an email from Percipio requesting them to create a password.

  7. User enters a new password and confirms it, then selects Change Password.

  8. User re-enters their login name and new password. Percipio opens to home page.

Subsequent login experience

  1. User goes to their Percipio URL.

  2. User enters login name or email address and password.

Use Case: Users do not have an email address.

If you cannot set users up with an email address or if you choose not to send a welcome email, you will have to separately notify your users of their Percipio login name and password.

Note: If a user does not have an email address specified, and you do not prompt to collect one, and you have multi-factor authentication turned on, Percipio automatically prompts the user for their email address. Percipio then sends a 6-digit code to that email address for continued login.

Configuration

In this situation, we recommend:

  • Setting users up with an initial password.

  • Requiring users to reset their password on first login.

  • Prompting users to enter security questions so they can perform a password reset without help from Support.

  • Prompting users to enter an email address for notifications and for self-serving forgotten passwords.

First-time user sign-in experience

Notify your users of the Percipio URL and their login credentials. Once they have their credentials and know how to access Percipio, the first time user experience is as follows:

  1. User goes to their Percipio URL.

  2. User enters their login name and password.

  3. User enters a new password and confirms it, then selects Change Password.

  4. User re-enters their login name and new password.

  5. If you opted for a custom policy, Percipio displays it. The user has to accept it to keep going.

  6. Percipio prompts the user for email address.

    • If the user adds an email address, the user continues with onboarding.

    • If the user doesn't enter an email address, Percipio prompts them to enter two security questions.

    • Whether or not the user enters the security questions, they continue with onboarding.

    • The user is not prompted again for email address or security questions, but they can specify or change them any time from the My Profile drop down.

  7. Percipio prompts the user to select the skill areas they want to build. The user can skip this and set it up at a later time fromthe Skills section of their profile.

  8. The user can start learning.

Mobile and Compliance only users

Use Case: You only license compliance content

If you only license Percipio compliance content, the user has a similar login experience as outlined above, except the following situations apply:

  • Users are not prompted to select skills or randomly shown a video.
  • If you assigned compliance content to the user, they see the Percipio Compliance home page instead of the Percipio home page.
  • If you did not assign compliance content, the Percipio home page displays with a message indicating they do not have access to content.
  • If the user is a site admin, they always see the Percipio home page.

Use Case: Users want to use the Percipio app on their mobile device

If your users want to use their mobile device to access Percipio, they need to install the Percipio mobile app.

Users then need to enter their Percipio site name which they can retrieve through a Percipio welcome email. If you are choosing not to send welcome emails, you must share the site name with your users. The site name is the first part of your Percipio web address. For example, mysite is the site name in mysite.percipio.com.

After the user enters the site name, they follow the same login experience as those on a desktop device.
